What is VA Record Ready?

VA Record Ready is a medical record organization service built specifically for veterans filing VA disability claims. We take your medical records—often hundreds or thousands of pages—and transform them into a clear, organized summary that highlights evidence relevant to your claimed conditions.

Many veterans struggle with the sheer volume of their medical documentation. Service treatment records, VA medical center visits, private doctor notes, and specialty consultations add up to an overwhelming amount of information. The VA receives your claim along with all this documentation, and raters must sift through everything to find the evidence that supports your case.

That's where we come in. We analyze your medical records and organize them by body system, matching the VA's own rating schedule structure. This means your orthopedic issues, mental health conditions, cardiovascular concerns, and other health problems are each clearly categorized with relevant medical evidence attached.

Important: VA Record Ready organizes and summarizes medical evidence. We do not provide legal advice, medical advice, or tell you how to file your claim. We do not predict outcomes or recommend specific actions. Our role is strictly limited to organizing your existing documentation.

Why Medical Record Organization Matters

The VA disability claims process depends heavily on evidence. Your service treatment records, medical diagnoses, and documentation of ongoing conditions form the foundation of your claim. However, even strong evidence can get lost in a mountain of paperwork.

Consider this scenario: You have a back injury from service that has worsened over the years. You have MRI results, physical therapy notes, pain management records, and multiple doctor assessments scattered across 15 years of medical history. A VA rater reviewing your claim might receive 800 pages of records and need to find the 30 pages that directly relate to your back condition.

When your evidence is organized by body system with clear summaries, the relevant information is easy to locate. This doesn't guarantee any particular outcome, but it does mean your evidence is presented as clearly as possible.

How We're Different From Other Services

  • We organize, not advise: Unlike claims agents or attorneys, we don't tell you what to file or how to file it. We organize what you already have.
  • Body system structure: We match the VA's rating schedule organization, making it easier for raters to find relevant evidence.
  • Veteran-founded: Built by a Coast Guard veteran who understands the claims process firsthand.
  • HIPAA-aligned practices: Your medical information is handled with strict privacy protections.
  • Clear deliverables: You receive organized summaries you can submit with your claim or provide to your VSO.

Who Uses VA Record Ready?

Our service is designed for veterans at any stage of the claims process:

  • First-time filers: Veterans submitting their initial disability claim who want their evidence clearly organized from the start.
  • Supplemental claims: Veterans adding new evidence to an existing claim who need to highlight what's changed.
  • Appeals: Veterans appealing a decision who want to ensure all relevant evidence is clearly presented.
  • Pre-claim preparation: Veterans gathering evidence before filing who want to understand what documentation they have.

What You'll Receive

When you use VA Record Ready, you receive a comprehensive organization package:

  • Body system summaries: Each relevant body system has its own summary document highlighting key medical evidence.
  • Chronological overview: A timeline of your medical history organized by condition.
  • Evidence index: A reference document showing where specific evidence appears in your records.
  • Organized digital files: Your records sorted into logical folders by condition and date.

The Problem We Solve

Every year, hundreds of thousands of veterans file VA disability claims. Many of these claims involve substantial medical documentation—sometimes thousands of pages accumulated over years or decades of medical care.

VA raters are dedicated professionals, but they're human. When faced with overwhelming documentation, important evidence can be missed. A critical diagnosis might appear on page 347 of an 800-page record submission. A nexus statement from a doctor might be buried in routine visit notes.

We don't claim to influence VA decisions. We simply ensure that when your evidence is reviewed, it's organized in a way that makes every relevant piece easy to find. Your evidence tells your story—we help make sure that story is clearly presented.

Our Commitment to Veterans

VA Record Ready was founded by a Coast Guard Rescue Swimmer who navigated the VA claims process and experienced the challenges firsthand. We understand that filing a disability claim can be stressful, confusing, and time-consuming.

Our mission is to reduce one source of that stress: the overwhelming task of organizing medical records. We handle the organization so you can focus on other aspects of your claim.

We believe every veteran deserves to have their evidence clearly presented. Whether you work with a VSO, an attorney, or file on your own, organized records make the process smoother for everyone involved.
